Privacy Policy for Gmail Assistant

Single Purpose

Gmail Assistant has one main purpose: to help users read and reply to Gmail messages using Ollama Cloud.

The extension is for Gmail only and uses Ollama Cloud only.

Data the Extension Uses

Gmail Assistant may use the following data:

• Gmail message content from the currently opened email
• Email details such as sender name, sender email, subject, and message text
• Ollama Cloud API key provided by the user
• Selected Ollama model
• Optional reply details provided by the user, such as name, email address, phone number, website, and location
• Extension settings such as UI mode and privacy confirmation preference

How Data Is Used

Gmail message content is used only to perform the action selected by the user, such as summarizing an email, classifying a message, suggesting reply ideas, drafting a reply, or polishing text.

Email content is sent for AI processing only after the user chooses an AI action from the extension and confirms the privacy prompt when required.

The Ollama Cloud API key is used only to connect the extension to Ollama Cloud. Optional reply details are used only to help create better email replies and signatures.

Data Sharing

Gmail Assistant sends email content, relevant email details, and related prompt information to Ollama Cloud only when the user chooses an AI action.

Ollama Cloud acts as the third-party AI service used to process the user-requested summary, classification, reply ideas, draft reply, or text polishing request. Ollama Cloud handles those requests according to its own terms and privacy policy.

Gmail Assistant does not sell user data, does not use user data for advertising, does not use user data for creditworthiness or lending, and does not transfer user data for unrelated purposes.

Data Storage

Gmail Assistant stores the user's Ollama API key, selected model, optional reply details, UI mode, and privacy confirmation preference using Chrome sync storage.

Gmail Assistant does not permanently store Gmail email content after the AI request is completed.

Gmail Assistant does not operate a separate developer server to store Gmail message content for this feature.

User Control

Users can update or remove their saved setup details from the extension Setup screen. Users can also reset the privacy reminder from the extension.

Users remain responsible for reviewing AI-generated results before copying, inserting, or sending them in Gmail.

Limited Use Disclosure

Gmail Assistant's use of user data will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

User data is used only for the extension's disclosed single purpose and related operational needs required to provide that user-facing functionality.
